INVENTORY MANAGEMENT - As soon as the bills and items are received and inspection / verification of same is completed , necessary entries must be made in appropriate stock registers. Some classification of stock books are :- 1. FURNITURE /FIXTURES 2. OFFICE EQUIPMENT 3. KITCHEN EQUIPMENT 4. ELECTRICAL EQUIPMENT 5. SPORTS KIT 6. SPORTS EQUIPMENT 7. OTHERS - Once the stock entries are completed, a distribution chart has to be prepared and indents made accordingly. - No item whether consumable or non consumable to be issued without an indent and approval from AD/AO. - - It has been generally observed that whenever stock position is asked for there has been conflicting statements being received. The stock position must be sent only in following format :- STOCK POSITION AS ON .......... SL. NO PARTICULARS OPG BAL AS ON 1st APRIL PURCHASED DURING THE YEAR ISSUED DURING THE YEAR BALANCE AS PER STOCK BOOK - There has always been confusion regarding the balance available. Whether book balance or ground balance. Whenever the balance position is asked for , for consumable items book balance is to be given . For all other items unless issued through indent the physical or ground balance ( only serviceable ) must be given. - Now a question will arise about how to treat the issue of sports equipment ?. Any consumable sports equipment like skipping ropes, medicine balls etc must be given on loan basis to the concerned coach and be entered in a temporary loan register , clearly specifying the location where it will be used . The non consumable ones must be issued in the name of concerned coach clearly specifying the location of the item.
